Reliable maintenance records help answer basic questions: what happened, when it happened, who addressed it, and whether the problem returned. They are useful for daily coordination and long-term planning, but they should be accurate and stored with appropriate access controls.

Record the essentials

  • Property, location, asset, date reported, and person reporting.
  • Observed condition and urgency, without unsupported diagnosis.
  • Approvals, vendor or technician, work performed, parts, and costs.
  • Photos and invoices when they add context and are appropriate to retain.
  • Whether follow-up is required, who owns it, and the target date.

Keep records useful

Use consistent asset names, categories, and closeout descriptions across properties. Avoid vague notes such as “fixed” when future staff may need to understand what changed. Do not store unnecessary personal or sensitive information in a work order. Follow company retention and privacy policies.

Use history to spot patterns

Review repeat calls, emergency repairs, downtime, and preventive tasks completed on time. Repeated drain backups or HVAC complaints may justify a deeper assessment. Compare costs only when the scope and accounting categories are consistent; a record of a low-cost patch is not necessarily comparable to a full replacement.

Make handoffs easier

When a property changes manager or a vendor changes, a clean asset register and open-work list reduce the chance that important tasks disappear. Keep warranties, manuals, inspection reports, and access instructions in the correct controlled location. Accurate records make maintenance decisions easier to explain and improve continuity from one season to the next.
