A little preparation can help a maintenance visit stay focused and reduce missed access. Start by confirming the work order, appointment window, contact person, and areas the provider needs to enter. Follow tenant notice rules, privacy requirements, and the property's own access policy.

Share a clear issue list

Rank the reported problems and identify the location of each one. Note when symptoms occur, whether the issue is active, and any prior repairs. Send useful photos before the visit when requested, but avoid images containing private documents or people.

Prepare access safely

  • Secure pets and keep children away from active work areas.
  • Move movable items away from the repair location if it is safe and practical.
  • Identify parking, entry, lockbox, and escort instructions through an approved channel.
  • Tell the provider about alarms, restricted spaces, or equipment shutdown procedures.
  • Do not remove guards, open panels, or attempt a repair before the visit.

Confirm the scope before extra work

Ask which items are included and who can approve additional work. If a technician finds a related issue, document the recommendation and obtain required authorization before proceeding, except where the property's emergency procedure allows immediate protective action.

Close out the visit

Review what was completed, what remains open, and whether occupants should follow any instructions. Save the invoice, service notes, and photos in the correct work-order record. A clear handoff prevents the next person from repeating the same discovery process.
